When our terms change

Workspace and users

The business that holds a workspace agrees to the ChekSign Terms of Service, and whoever signs up does it for the business by ticking a box. Somebody invited in later ticks a box too: an owner agrees for the business, and anyone else acknowledges the terms they work under. The Privacy Notice is acknowledged rather than agreed to.

What is recorded

Each time, ChekSign records who it was, which workspace, when, and exactly which version of the Terms of Service and the Privacy Notice it was. Every version stays readable at its own address, listed at /terms/versions and /privacy/versions, with a fingerprint of its text so anybody can check the words are the ones that were agreed to. The record cannot be edited or deleted.

When the terms change

A change that matters to you is emailed to every owner of the workspace before it takes effect, with the date and a link to the new version and what changed. Once it has taken effect, an owner is asked to accept it the next time they sign in. One owner accepting is enough for the whole workspace.

An owner who does not want to accept can still leave. While the question is showing, Billing, your requests and their signed documents, Contacts, your own personal data, closing your account, Support and the version your business accepted all stay open.

Nobody signing one of your documents is ever asked anything, and a request you have already sent carries on to completion whatever happens to the terms.
